Applications, assessment and admission

Manage the complete application journey in MemEx - from evidence and assessment through to decision, admission and the membership that follows.

Applications are managed as complete records in MemEx, bringing together applicant information, supporting evidence, assessment, decisions and approvals in one place.

Once an application is approved, the resulting membership can be created automatically - including the appropriate grade, subscription and entitlements - without re-entering the decision elsewhere.

The full history remains available too, giving you a clear record of who made each decision, when it was made and the evidence it was based on.

Applications are captured through the website or the member portal against the grade being applied for, with the eligibility rules for that grade applied at the point of application rather than discovered later by an assessor. Part-completed applications persist, so an applicant who runs out of time or needs to chase a reference can come back to it rather than starting again. It arrives as a record, not as an email or a PDF for somebody to rekey.

Supporting evidence, whether qualifications, references, CPD records, work history or sponsor statements, is attached to the application and held against it rather than living in a mailbox. What evidence a grade requires is configured per grade, so an applicant is asked for what their route actually needs and an assessor receives a complete file rather than assembling one. Nothing has to be chased twice because nobody can find what was already sent.

Applications are allocated to assessors, who work in the system of record rather than in a shared drive. Assessors see what they are permitted to see and no more, which matters when your assessors are volunteer members rather than staff. They record their assessment against the application, and it moves on the basis of their recommendation, so the trail from evidence to opinion to decision stays in one place.

Applications reaching a panel carry their evidence and assessments with them, so the papers are the record rather than a summary of it. The decision is recorded against the application with who took it and on what basis, which is exactly what an appeal, an audit or a regulator will later ask for. Years later that is the difference between answering a question and reconstructing a meeting from minutes.

On admission the member record, grade, subscription, entitlements, register listing and designatory letters all follow from the decision. There is no second data-entry step and no window in which the decision exists but the membership does not. The practical effect is that the post-nominal appears in the portal and the public directory the same day rather than whenever somebody works through a backlog.
